# What Features Should Enterprise Teams Require in AI Monitoring?

> A seven-point checklist for enterprise marketing teams choosing an AI monitoring platform for multi-brand operations, based on what AI models actually cite.

*By Bodrik Bakker · Published 2026-10-30 · Updated 2026-10-30 · Original article: https://trackbase.ai/blog/what-features-should-enterprise-teams-require-from-an-ai-monitoring-platform*

Enterprise marketing teams should require seven things from an AI monitoring platform for multi-brand operations: a clean brand-and-market hierarchy, role-based access, consistent cross-model metrics, benchmarking per brand, security and hosting controls, reporting and API output, and a vendor who commits to support levels in writing. Everything else is a nice-to-have. This checklist is based on what AI models cite when they answer this exact question, and on what the cited vendor pages leave unsaid.

## What AI models cite for this question

On Trackbase's tracked prompts, the question "What features should enterprise marketing teams require from an AI monitoring platform for multi-brand operations?" is answered mostly with vendor pages: an [Ayzeo enterprise use-case page](https://ayzeo.com/use-cases/enterprise), Conductor's [best AI visibility platforms guide](https://www.conductor.com/academy/best-ai-visibility-platforms/), an AirOps stack overview, and Siftly's enterprise comparison. They share a pattern: a defined list of criteria, a comparison table, and an FAQ. They also share a weakness. They are published by vendors that rank themselves, and several leave out the details a procurement team needs, such as which roles exist or whether audit trails are available.

That is the gap this article fills: a neutral, verifiable checklist you can hand to a buyer or an agency partner.

## The seven requirements

| # | Requirement | What to ask the vendor |
| --- | --- | --- |
| 1 | Multi-brand structure | Can each brand, region or business unit have its own workspace, prompts and competitor set? |
| 2 | Roles and permissions | Which roles exist, and can a person hold different roles per brand? |
| 3 | Consistent metrics | Are Visibility Score, Share of Voice and sentiment defined identically across brands and models? |
| 4 | [Competitor benchmarking](https://trackbase.ai/glossary/competitor-benchmarking) | Can each brand be compared against its own competitors in the same AI answers? |
| 5 | Security and hosting | Where is data hosted, is it GDPR compliant, is SSO available, are actions logged? |
| 6 | Reporting and data access | Can you export, schedule reports, white-label them, or pull data via an API or [MCP](https://trackbase.ai/glossary/model-context-protocol)? |
| 7 | Support and SLA | Is there a dedicated contact and a written response commitment? |

### 1\. A real multi-brand structure

Multi-brand operations break tools that were built for one site. You need a workspace or project per brand, ideally grouped by market or business unit, so a regional team sees only its own prompts while central marketing sees the roll-up. Ayzeo describes a project-per-brand hierarchy with tags for categories and regions; Siftly points out that unlimited workspaces matter because per-workspace pricing punishes teams that mirror their organisation.

### 2\. Roles, permissions and collaboration

Siftly notes that collaboration features are often "implied rather than standardized" across vendors, and that several tools mention multi-user dashboards without describing a permission model. Ask for the actual role list. A workable minimum is admin, editor and viewer, with the option to scope each role to a brand or market.

### 3\. Metrics you can compare across brands

A portfolio view is only meaningful when every brand is measured the same way. Require a documented definition of Visibility Score and Share of Voice, plus sentiment, mentions and citations, per model. Our post on [how Trackbase calculates the Visibility Score](https://trackbase.ai/blog/how-trackbase-calculates-your-visibility-score-and-why-its-different) shows what a documented method looks like.

### 4\. Model coverage and competitor benchmarking

Coverage claims vary widely. Siftly's comparison lists ten or more engines for one vendor and five or six for others, and Conductor's own article is inconsistent about its engine count. Count the models that are actually queried daily, and check that each brand can be benchmarked against its own competitors in the same answers. See [the 11 AI platforms every brand should track](https://trackbase.ai/blog/the-11-ai-platforms-every-brand-should-be-tracking-in-2026).

### 5\. Security, hosting and audit

Enterprise security review will ask where data lives, whether the vendor is GDPR compliant, whether single sign-on is supported and whether user actions are logged. Siftly lists audit trails as a requirement but could not show which vendors provide them, which is a reminder: verify in writing, not from a landing page. Conductor cites SOC 2 Type II and ISO certifications for itself; treat any such claim as something to request evidence for.

### 6\. Reporting, exports and data access

Executives want a roll-up, regional teams want drill-downs, and analysts want raw data. Look for scheduled reports, white-label output if agencies are involved, and programmatic access. Conductor prefers API-based data collection over scraping for reliability. For teams working in AI assistants, an MCP connection lets analysts query visibility data directly; see [how to use the Trackbase MCP in Claude](https://trackbase.ai/blog/how-to-use-the-trackbase-mcp-in-claude).

### 7\. Support, SLA and onboarding

Large rollouts fail on onboarding, not features. Ayzeo quotes two to four weeks for enterprise onboarding; Siftly's enterprise tier advertises a dedicated customer success manager with a two-hour SLA. Whatever the vendor, get the support level and response time written into the contract.

## Nice-to-haves versus deal-breakers

Treat attribution modelling, crawler monitoring and prioritised actions as high-value but secondary. Crawler visibility tells you whether AI bots can reach key pages; prioritised actions turn the data into a to-do list. They matter once the seven basics are in place.

## How Trackbase maps to the checklist

Trackbase is a Dutch SaaS platform with EU hosting that is GDPR compliant. It tracks 11 AI models daily and reports Visibility Score, Share of Voice, sentiment, citations and competitor rankings, with a prioritised Actions list and crawler analytics. Its [Enterprise plan](https://trackbase.ai/solutions/enterprise) covers multiple brands and workspaces, custom prompts, models and competitors, an MCP connection, dedicated support with an SLA and, for agencies, [white-label reporting](https://trackbase.ai/glossary/white-label-reporting). See [pricing](https://trackbase.ai/pricing) for Essential (€49/month) and Professional (€199/month), both with a 14-day free trial, and Enterprise on request.

Some items are not published on the public pages, including SSO, API access and the exact role model. Ask for these in a demo through the [contact page](https://trackbase.ai/contact), as you would with any vendor. For related reading, see [enterprise AI brand reputation monitoring](https://trackbase.ai/blog/enterprise-ai-brand-reputation-monitoring) and the [white-label dashboard checklist for agencies](https://trackbase.ai/blog/white-label-ai-visibility-dashboards-for-agencies-checklist).

## A simple way to run the evaluation

1. Pick two or three brands that differ in market and competitor set.

2. Give every vendor the same prompts for a two-week pilot.

3. Compare results against the checklist table, not the vendor's own scorecard.

4. Ask security and legal to review hosting, data processing and access control before signing.

You can also baseline your brand for free with the [AI visibility checker](https://trackbase.ai/free-ai-visibility-checker).

## FAQ

### Which features matter most for multi-brand AI monitoring?

A brand and market hierarchy, role-based access, and metrics defined identically across brands. Without those, portfolio reporting is unreliable no matter how many AI models are covered.

### Do enterprises need SSO and audit logs for AI visibility tools?

Most security teams will ask for them. Because vendor pages often do not state this clearly, request written confirmation during evaluation instead of assuming.

### How long does an enterprise rollout take?

Vendor figures vary. Ayzeo quotes roughly two to four weeks for onboarding. Plan for [prompt](https://trackbase.ai/glossary/prompt) design per brand, competitor sets and role setup, and run a short pilot before a full rollout.
